LMPC Protocol for safe attendance at face-to-face Parish Council Meetings.

If you would like to attend the next Parish Council meeting in Langton Village Hall, please read the following:

Numbers: Cllrs (9), Cllr Brooks, Tom Clarke (NT), Clerk.  Total: 12

PLUS Max 10 members of the public evenly spaced 2m apart on seats placed by Clerk. People should go straight to seats and stay there throughout the meeting (ie no grouping).

Sign to be displayed outside stating how many members of public permitted and that members of public should not attend if displaying any Covid symptoms, returned from abroad in last 14 days etc.

Published agenda to state that members of public should not attend if displaying any Covid symptoms, returned from abroad in last 14 days etc. Agenda to state that anyone  wishing to ask a question during Public Participation should contact the Clerk by 12 noon on the day before the meeting; they can thus ‘book’ a seat at the meeting; alternatively they may submit a written question to be read out by the Clerk, and need not attend in person.

Masks: All those present to wear face masks unless speaking.

Tables not to be used except by Chair and Clerk: these will be disinfected before and after use. Chairs will be disinfected before and after use

Hand sanitiser to be used by all on entry to the building, and on leaving. Disinfectant wipes to be available.

Ventilation: Front door to be left open, windows to be opened if possible.

Test and Trace register: Clerk to record name and contact details of all entering the building; record to be retained by Clerk. All present must agree to inform LMPC if they subsequently test positive for Covid within the next 14 days.

No access to toilets during the meeting.

Cllrs should withdraw to the billiard room if ‘leaving the room’ during an item.

At the end of the meeting, members of the public should leave separately, as directed by the Chair. Those wishing to leave during the meeting should ensure that they leave separately.

No paperwork will be provided for the meeting, though a copies of the agenda will be displayed prominently in the Hall. Cllrs may bring personal laptops/tablets, though note that tables will not be available.
